Who Can Sponsor and Who Can Come

Eligibility is governed by the Aliens Act (Ustawa o cudzoziemcach). The sponsor (the NRI already in Poland) must hold:

  • A valid temporary or permanent residence permit (karta pobytu) in Poland, with at least 12 months remaining validity.
  • Stable and regular source of income — minimum monthly income threshold applies (generally: 120% of the minimum wage per additional family member, approximately PLN 5,200/month per person in 2026).
  • Accommodation suitable for the dependent (verified by address proof and, sometimes, property inspection).

Eligible dependents: Spouse (married, not in a cohabiting/unmarried relationship under current Polish law), minor children (under 18), and in some cases adult children still in full-time education.

Documents Required (Applicant/Dependent in India)

The dependent applicant submits documents at the Polish Consulate in India (New Delhi, Mumbai, or Kolkata) via VFS Global:

  • Visa application form — completed online at e-konsulat.gov.pl, then printed and signed.
  • Valid passport — minimum 6 months validity beyond the intended stay; all old passports.
  • 2 biometric passport photographs — 35×45mm, white background, taken within the last 6 months.
  • Marriage certificate / birth certificate — apostilled by MEA (Ministry of External Affairs, India) and translated into Polish by a sworn translator (tłumacz przysięgły).
  • Sponsor's karta pobytu (front and back copy) — certified copy of the sponsor's Polish residence permit.
  • Sponsor's employment contract and recent salary slips — last 3 months, showing stable income above threshold.
  • Accommodation proof — rental agreement for the Poland property where the dependent will live, plus sponsor's declaration of intent to provide housing.
  • Health insurance — policy covering Poland for the visa duration, minimum €30,000 coverage. Accepted providers: Allianz, AXA, Generali, Hanse Merkur (check consulate's current accepted list).
  • Bank statements — applicant's last 6 months statements showing sufficient funds for travel and initial stay.
  • Visa fee — currently €80 (long-stay national visa D-type); plus VFS service charge approximately ₹2,000–₹2,500.

VFS Appointment and Consulate Submission Process

  1. Book a VFS appointment online at vfsglobal.com/poland/india — appointment slots in Delhi typically available 2–6 weeks ahead. Mumbai has fewer slots; book early.
  2. At the VFS center, biometric data (fingerprints, photo) are collected. VFS does not make visa decisions — they are a courier/data collection service only.
  3. Documents forwarded to the Polish Consulate for assessment.
  4. Processing time: 15–30 working days typically; up to 60 days permitted by law. Check status on e-konsulat.gov.pl using your application reference number.
  5. Visa sticker affixed to passport and returned via VFS courier (or collected in person).

Common Rejection Reasons

  • Apostille missing on marriage/birth certificate — MEA apostille is mandatory; state-level attestation alone is not accepted.
  • Income below threshold — sponsor's net monthly take-home is assessed, not gross.
  • Accommodation proof insufficient — must show a lease specifically at the address where the dependent will live, not just any address in Poland.
  • Inconsistent relationship proof — for spouses, some consulates request additional proof of genuine relationship (photos together, communication records) if the marriage is recent.
  • Health insurance from a non-approved provider — always verify the consulate's current list before purchasing.
