Types of Passport Renewal

There are three types of passport applications from abroad: (1) Normal renewal — standard reissuance when your passport is expiring (ideally start 6–12 months before expiry); (2) Tatkal (urgent) — faster processing at 1.5x the fee, not always guaranteed; (3) Replacement for damage or loss — requires a police report (FIR) for lost passports. This guide covers the standard renewal process, which applies to all three types with minor variations.

Step 1: Online Application on Passport Seva Portal

Go to passportindia.gov.in and create an account (or log in). Select "Apply for Fresh Passport / Re-issue of Passport." Choose "Re-issue" if renewing. Fill in the online form carefully — name must match exactly as in your current passport; any discrepancy causes rejection. Download and print the Application Reference Number (ARN) page.

Step 2: Pay the Fee

Fees are collected by the consulate in local currency at the time of appointment. As a guide: Normal renewal is approximately equivalent to ₹1,500 (around £15/€17/$18); Tatkal is approximately ₹3,500. Exact amounts in GBP, EUR, USD are published on the respective consulate's website — check before your appointment as fees can change.

Step 3: Schedule an Appointment

Most consulates in the US, UK, Europe, Australia, and Singapore process passport applications through VFS Global. Book via the VFS website for your country. Appointment slots fill up quickly — especially in cities with large Indian communities (London, Toronto, Dubai, Singapore). Book at least 4–8 weeks ahead. Some smaller consulates accept walk-ins; check your specific consulate's website.

Step 4: Documents to Carry

  • Current passport (original) — must not be expired by more than 3 years
  • Printed application form (ARN printout from Passport Seva)
  • 2 recent passport-size photos (white background, no glasses, 2x2 inch or 35x45mm — check consulate specifications)
  • Fee receipt (paid at VFS or consulate)
  • Proof of current address (host country: driving licence, utility bill)
  • Proof of Indian address (Aadhaar, voter ID, or old documents)
  • OCI card (if applicable — carry but not always required)

Step 5: Attend the Appointment

At the VFS centre: submit documents, pay fee, provide biometrics (fingerprints and photo), and leave your current passport. You will receive an acknowledgement slip with a file number for tracking. Your current passport is returned along with the new one when ready.

Europe (Germany, Netherlands, etc.)6–10 weeks4–6 weeks
US / Canada6–10 weeks4–6 weeks
UAE3–5 weeks2–3 weeks

ECR vs ECNR

If your existing passport has "ECR" (Emigration Check Required) stamped, ensure you understand the implications — ECR holders need emigration clearance for certain countries. If you now hold a degree (and didn't before), apply for ECNR status when renewing; you'll need to show your degree certificate.

If Your Passport Expires Before Renewal

Contact the consulate immediately for an Emergency Certificate (EC) — a single-journey travel document to allow return to India. ECs are issued quickly (often same day) for genuine emergencies. Note: an expired passport is not a criminal matter, but you cannot board international flights without a valid travel document.

Tracking Status

Track renewal status at passportindia.gov.in/AppOnlineProject/statusTracker or via the VFS tracking portal using your file number. Status updates are often slow — if there's no update after 10 weeks, contact the consulate directly.

Set a passport expiry reminder 12 months in advance with the Document Tracker on NRI Tools — never get caught with a nearly-expired passport before an India trip.
