Complete Guide to Poland TRC in 2026: Processing Times by City

Financial Editorial Team2026-03-01

Navigating the Polish Temporary Residence Permit (Zezwolenie na Pobyt)

For Indian nationals living and working in Poland, the zezwolenie na pobyt czasowy (temporary residence permit, often called TRC or karta pobytu) is your legal foundation. Without it, you exist in a grey zone — tolerated during the visa validity window but without a stable, multi-year status. This guide covers the end-to-end process as it stands in 2026, including the significant variation in processing times across Polish voivodeships.

Documents You Need Before You Apply

Applications are submitted at the Urząd Wojewódzki (Regional Governor's Office) in the voivodeship where you reside. The core document package for most employment-based applications is:

  • Completed application form — downloaded from the voivode's website; must be signed in original (no digital signatures accepted).
  • Valid passport — all pages photocopied, original presented at the appointment.
  • Employment contract or assignment letter — must specify position, duration, and gross salary. B2B contracts are accepted if accompanied by proof of active tax registration (NIP).
  • Proof of accommodation — rental agreement with the landlord's signature, or a notarized declaration of accommodation provision.
  • 4 biometric photographs — 35×45mm, white background, no glasses.
  • Proof of health insurance — ZUS confirmation (if employed on umowa o pracę) or private insurance policy covering Poland.
  • Fiscal stamps (opłata skarbowa) — PLN 340 for the decision + PLN 50 for the karta pobytu (card itself).

City-by-City Processing Times (2026 Estimates)

Processing times vary dramatically. The following figures reflect average time from document submission to receiving the decision letter, based on community reports and voivode announcements:

  • Warsaw (Mazowiecki Urząd Wojewódzki): 10–14 months. Highest volume in Poland. Online appointment booking via system e-Wizyta fills within minutes of slots opening (typically Monday mornings). Apply as early as legally possible — you can apply up to 90 days before your current visa/permit expires.
  • Kraków (Małopolski Urząd Wojewódzki): 6–9 months. Somewhat faster than Warsaw but appointment slots also competitive. Check for cancellations on Tuesday afternoons.
  • Wrocław (Dolnośląski Urząd Wojewódzki): 5–8 months. One of the more efficient offices; accepts walk-ins for document drop-off on certain days — verify on their website first.
  • Gdańsk (Pomorski Urząd Wojewódzki): 4–7 months. Relatively low demand; appointments often available within 2–4 weeks of the application opening date.
  • Poznań (Wielkopolski Urząd Wojewódzki): 6–10 months. Growing tech hub means higher NRI volumes; processing times have increased compared to 2024.

The PESEL Link: Why It Matters

Your PESEL (Powszechny Elektroniczny System Ewidencji Ludności) number is Poland's national identification number. As an NRI on a work permit, you receive a PESEL upon registering your place of residence (zameldowanie) at the local gmina (municipality) office. This is a separate process from your TRC application and should be done within 30 days of moving to Poland.

Your PESEL is critical for: opening a Polish bank account, registering with the National Health Fund (NFZ), filing Polish tax returns (PIT), and any interaction with e-government services (e.g., Profil Zaufany on ePUAP). Importantly, your karta pobytu will display your PESEL — matching it ensures your documents are consistent across systems.

Common Rejection Reasons and How to Avoid Them

  • Inconsistent address: The address on your rental agreement, zameldowanie, and application form must match exactly. Even formatting differences (ul. vs ulica) can trigger a request for clarification.
  • Employer's NIP/REGON mismatch: If your employer recently changed legal structure, ensure the employment contract reflects the current legal entity and that the voivode's records are updated.
  • Missing apostille on Indian documents: Birth certificates and marriage certificates issued in India need an apostille (MEA, India) or notarized translation if used as supporting documents.
  • Passport expiry within permit period: Your passport must be valid for the entire requested permit duration. If your permit is requested for 3 years but your passport expires in 18 months, the permit will be issued only until passport expiry.

Track your TRC application date and expiry in the Document Tracker tool — it sends email alerts 6 months and 30 days before expiry so you never miss the renewal window.
